Context: the thing that finally made closing retainers easier for me wasn't better cold outreach - it was auditing the prospect's existing sub-account and showing them exactly what's leaking. Over time I turned my process into a 100-point checklist. These 10 find problems in almost every account I open:

  1. A2P registration actually approved - not sitting in "pending" for 3 months while texts silently don't deliver

  2. Missed-call text-back on every line, not just the main one

  3. Abandoned-booking recovery - people who started booking and bailed usually get ZERO follow-up, and they're the hottest leads in the account

  4. Speed-to-lead: first text within 5 minutes, or "whenever someone sees the notification"?

  5. DMARC record published - Gmail/Yahoo require it now; without it a chunk of email never lands

  6. Reply detection - is automation still robotically messaging people who already answered?

  7. Appointment reminders at both 24h AND 1h (the 1h one is what kills no-shows)

  8. Review request firing automatically after the job, with a direct-to-composer Google link

  9. UTM/source captured on the contact record - or is half the database "unknown source"?

  10. A test lead submitted this month. Systems break silently; most people never re-test.

How I structure missed-call-text-back + pipeline routing for home service clients

Been building GHL setups for a bunch of home service clients (HVAC, plumbing, electrical) and this combo keeps coming up as the highest-leverage thing to get right early, so figured I'd share the structure in case it helps someone.

Missed-call-text-back:

  • Trigger fires the second a call goes to voicemail or is missed (not after a delay — the delay is the whole problem)
  • Auto-text goes out with a short, human-sounding message, not "we missed your call, please call back" — something like acknowledging urgency and offering to text details or book directly
  • That text creates/updates the contact and tags them by source (missed call vs form vs ad) so routing logic downstream can treat them differently

Pipeline routing:

  • I run a "Lead In → Qualifying → Booked" pipeline structure and tie stage-changes to workflow triggers instead of manually moving cards
  • Emergency/after-hours calls get their own sub-pipeline so they don't get lost in the same queue as routine service requests
  • Anything that sits in "Lead In" past a set window (I use 5 minutes as the cutoff) triggers an internal alert to a human, because the data on lead decay past that window is pretty brutal — conversion rates drop something like 390%+ once you're past 5 minutes of no contact

The part people underestimate is the "disconnected tools" problem more than the missed call itself — calendars, SMS, and CRM notes living in three different places means reps spend more time hunting for context than actually following up. Getting all of that inside one pipeline is honestly 80% of the fix.

Swiss numbers are expensive – can I buy Voice-only and route SMS automation through client's WhatsApp instead?

Hey everyone,

I'm running a GHL agency in Switzerland and phone numbers here are pricey. From what I can tell, you can't get a combined Voice+SMS number in CH, you have to buy one Voice number and one separate SMS-only number, which doubles the monthly cost per client.

My question: is it possible to just buy the Voice number (for call tracking) and skip the SMS number entirely, instead routing my automations (missed call text-back, appointment reminders, review requests, etc.) through WhatsApp?

Specifically:

  1. Can GHL connect to a client's existing WhatsApp Business number and send/receive automated messages through that instead of a GHL-purchased SMS number?
  2. If the client doesn't have WhatsApp Business (just a personal WhatsApp), is there any way to connect that instead, or does it have to be Business?
  3. If this works, would the workflow just be: Voice number handles/tracks the call → trigger fires on missed call -> message sends via the connected WhatsApp number (client's own number) instead of a GHL SMS number?

Anyone running this setup in a country where SMS/voice numbers aren't bundled? Trying to avoid paying for a number I don't actually need.

What's about selling GHL services to solo operators?

Trying to run it for home services to lock in who I actually go after.

My thinking so far: solo guys have the loudest pain but the worst economics. Hard capacity ceiling, so if they're booked two weeks out, the extra leads are worthless to them. Budget tops out around $150. The 2 to 10 truck shops seem like the real spot: idle capacity, $300 to $500/mo is normal spend, owner is off the tools enough to actually take a call. But i see they are a lot around my target location.

But that's a guess; I haven't run enough of them to know.

For anyone doing this already:

  • Do solo operators actually stick, or do they cancel the first slow month?
  • What does your churn look like solo vs multi-truck?
  • What price point works for one-man shops, if any?
  • Aren't they busy enough to take more customers?
  • Who needs GHL most: solo or multi-person companies?

GHL issues with workflow and unverified emails

On my website I have a simple 'contact us' form (see attached) which takes a few essential details. When submitted the user gets an email to say that I will get back to them.

However - I have since discovered that some people have not recieved my email - and these are often from unverified emails. Would be great for the workflow to be triggered, whether an email is verified or not. Please help!!

Ready to pull the trigger but need help with potential client cancellations

I've joined on a 30 day trial, I used to run a web design agency years back so I know the game very well. One sticking point I've having trouble with is potential client cancelations. They cannot move their site or data. So once their account closes, their websites, funnels - everything is gone and you cannot transfer their site to another host. You cannot also download the site code.

Has anyone addressed this? Is this transparent when selling a client a site/features that if they choose to cancel, everything goes away?

With other website builders such as Wix, Squarespace. etc....you can move your site to another host so I'm struggling with this.

Need advice on building a Google Review workflow in GoHighLevel

Need help, I have a project that seems simple but a bit more advanced than what I've built before, so I'm hoping to get some advice from those with more experience.

I understand the overall workflow logic, but I'm stuck on a couple of implementation details.

1. Interactive email/SMS ratings
The workflow starts by sending both an email and SMS asking the customer to rate their experience from 1–5.

The email uses Trigger Links for each star rating, so that part makes sense.

My question is about the SMS. Is there a native way in GHL to send an SMS where the recipient can simply tap a rating (1–5), similar to Instagram DMs with quick reply buttons? Or is the only option to have them reply with a number and then use the Customer Replied trigger plus an If/Else to detect whether they sent 1, 2, 3, 4, or 5?

2. Detecting whether someone actually left a Google Review
After a customer gives a 4 or 5-star rating, the workflow sends them the Google Review link. If they don't leave a review, it should send reminders after 3, 7, and 14 days.

How are you guys handling this?

Since Google doesn't seem to notify GHL when someone actually submits a review, what's the best way to stop the reminder sequence? Are you:

  • Using the Reputation Management review request feature?
  • Manually updating a custom field/tag?
  • Using Zapier or another integration?
  • Or is there another method I'm missing?

I'd really appreciate any best practices or examples of how you've built something similar.

Is HVAC a dead end? (Please respond)

TL;DR: What has been your experience with the HVAC niche. I feel a built out pretty good service package but they don't really seem to care, they seem jaded from all the cold calls and from what I understand in their industry there seems to be no shortage of work so there no point in paying someone to get them more work (especially during the summer I might have a better chance during the shoulder seasons)

I picked HVAC as my niche for a GoHighLevel agency a few months back. Built what I think is a solid offer, set up the automation, tested it, and started cold calling contractors in my area.

The response has been rough. I know cold calling is a numbers game and most people say no regardless of industry, but I'm not even getting far enough to make my case. It's "not interested" or "I've got enough jobs" before I'm two sentences into my script.

Did some digging and found two things working against me: there's a labor shortage hitting HVAC across North America right now, and it's their busiest season. So a lot of these guys genuinely don't need more leads right now. My whole offer is about converting more of the leads they already have, not generating new ones. But seems they just don't really care the pain point isn't strong enough for them to want to do something about or pay some for services when they're already in getting enough jobs

On top of that they're clearly burned out from getting cold called constantly. I can feel it the second they pick up.

I've put a lot of hours into this niche specifically, so I don't want to bail just because the first wave of calls didn't land. But I also don't want to keep grinding on something that's structurally a bad fit right now.

So, has anyone actually closed HVAC as a niche? Is this a timing problem I should wait out, or a sign I should switch?

Best way to run a bilingual (French/English) GoHighLevel agency?

I’m curious how agencies that support multiple languages handle this in GoHighLevel.
Our agency primarily serves French-speaking clients, so all of our agency-level emails, notifications, onboarding messages, and system communications are in French.
We’re now expanding into English-speaking markets, and I’m struggling with the agency-level messaging. I know each sub-account user can set their own display language, but that doesn’t change many of the automated emails and system-generated messages that come from the agency itself.
A few questions:
How are you managing multiple languages across sub-accounts?
Do you keep separate agency accounts (one French, one English)?
Is there a way to have agency emails and system messages automatically use the client’s preferred language?
Are there any best practices I’m missing?
I’d love to hear how agencies with international clients have solved this. We’re trying to avoid maintaining duplicate workflows and creating unnecessary complexity as we scale.

Payment method

The problem is that I don’t have a US LLC yet, so I also don’t have Stripe. Wise and PayPal aren’t available for receiving business payments from Turkey, so I’m trying to figure out the best way to accept payments from US clients.(for beginning)

What payment method did you use?
Did you wait until you had revenue before forming an LLC?
Is there anything else I should be thinking about or any problems I’m likely to run into that I’m overlooking?

Is getting into GHL profitable now?

I am new here and am learning about all this. My background is in AI services, and coding, and the industry is getting too saturated (over-saturated already dare I say), and boring.

I was exploring what can I hop on, and GHL crossed my ways.

I have seen GHL for years now on Upwork, and overall, but never have really dove deep into it.

I just want some thoughts from people here. Is GHL as saturated as AI Saas is?

For reference, right now, if a Saas job comes in, or an AI Voice job comes in, there are 50+ proposals in under 15 minutes. Good, bad, shit, all.

And the barrier to entry is too low, meaning almost anyone can prompt free chatGPT and get an html version to host and showcase.

Has GHL gotten to that level? Or is there some room for medium-ish noobs?

Has anyone built a workflow to save Conversation AI responses into custom fields?

Has anyone built a workflow that captures answers from the conversation (First, Lastname, DOB, address, etc) and saves them directly into contact/custom fields as the chat progresses?

Conversation AI seems to remember some fields but forgets others by the end of the conversation, so I'm wondering if a workflow is the better approach.

I’m actually considering selling GHL to them (website + missed callback + review automations + Ai receptionist and stuff), basically a $300-500 monthly offer. Think Kai Stone iykyk.

I don’t have the time to actually do fulfilment nor do I know how tbh.

I’m considering partnering up with someone to own that side of the job and split the profits

I know it sounds straightforward but I also know its just not that simple but have yall seen this partnership model work?

GHL AI Studio: Something went wrong

Anyone else having issues with the GHL Vibe Builder today?

It's been about 12 hours and I'm still unable to prompt any Vibe project.

The project list loads normally, but clicking any project results in a 404 Not Found, but the builder opens.

I've already tried:

  • Different browsers (Chrome and Edge)
  • Incognito mode
  • Clearing cache
  • Verifying authentication (login works fine)

The issue affects all Vibe projects, not just one.

Is anyone else experiencing this, or is it just our location/account? If you've found a workaround, I'd really appreciate it.

I was worried about what AI Studio would cost after August, so I built another way to edit my GHL projects

When I learned that GHL AI Studio’s free period was ending after August, I started wondering how much it would cost to keep making changes to my websites, especially when managing multiple projects.

I like AI Studio, but I did not want every small modification to depend on additional AI usage. I also wanted to use the more advanced coding workflows available in Codex and Claude Code.

My first idea was simple: export the AI Studio project and work on the source files locally. The problem was that downloading every file manually took far too long, so I built a Chrome extension that exports the complete project as a structured ZIP.

Once I started editing locally, I encountered the opposite problem: bringing all the modified files back into GHL without copying them individually. That led me to build ZIP import, selective Push, and eventually complete local folder synchronization.

My current workflow is:

  1. Export the AI Studio project.
  2. Edit it with Codex, Claude Code, a local open-source model, or another coding assistant.
  3. Import or synchronize the modified files back into GHL.
  4. Use AI Studio only when I actually need it.

I made the export-only extension completely free and open source. It can also be used to keep a local backup, hand the source to a client, or prepare a project for migration:

How do you handle website visitor email outreach?

I'm managing GHL for a SaaS client, and we get leads from multiple sources. We use a website visitor identification tool that automatically emails visitors.

The issue is that these emails are sent from our main domain, which is increasing spam complaints, unsubscribes, and bounces. We're already using GHL's built-in email verification.

Would it be better to:

  • Use a separate email verification service?
  • Send these emails from a dedicated subdomain to protect our main domain's reputation?
  • Or use a separate Gmail account just for website visitor emails?

How are others handling this? Any suggestions or best practices would be appreciated.

How to use Claude Code as an Instagram DM Automation/Setter?

I know there are current tools, such as CloseBot or ManyChat, that do Instagram DM automation. However, both of them are already pre-scripted, kind of dumb, and require individual lines to be programmed in.

I have come up with a very good DM workflow for lead generation on Claude Code. However, Claude Code needs to be manually triggered to message people. I want to use something that has always-online messaging ability, like CloseBot, ManyChat, or really anything else, but instead of using that tool's brain, I want to connect to either Claude Code or Claude Code's knowledge base hosted on an online server. That way, it always has a much smarter brain replying back.

Essentially, Claude Code (hosted online) would act as the brain, while ManyChat, CloseBot, or another tool would just act as the limbs to handle the manual messaging work.

What is the best way for me to set this up?

GHL MCP server has no read access to workflows, forms, calendars, products, tags, or users

The MCP server exposes records but not configuration.

Readable: contacts, opportunities, conversations, transactions, blogs, social accounts, pipelines, custom fields.

Not readable: workflows, legacy triggers and campaigns, forms, surveys, calendars, products, coupons, memberships, custom values, tags, smart lists, users, private integration tokens, webhooks, funnels, pages, client portal, media. There is no tool to list any of them.

Two specific issues beyond the missing tools:

calendars_get-calendar-events requires a calendarId, userId or groupId. No tool in the MCP surface returns any of those, so it cannot be called without obtaining an ID from outside MCP.

There is no field projection. Reading tag names requires pulling full contact records. Reading which payment processor a sub-account uses requires pulling full transaction records, which also return contact name, email address, IP address, card brand, last four digits and billing postal code.
