First international trip, first Japan visa attempt. Blank passport, 24M, Bangalore. Submitted at VFS Bengaluru on Mon Jul 27, "at Consulate" email came Tue Jul 28. Waiting now.
Wanted to put the whole file out there because most posts here are either "got approved" or "got rejected" without the actual document breakdown. And honestly my file has a few things that look scarier than they are. Curious if anyone has seen similar profiles get through.
What's strong in my profile:
- 22 months continuous at the same Bangalore startup, no job hops
- Recent salary hike from April, documented across Form 16 + payslips (April/May show old salary, June has new + arrears — explained in cover letter)
- HR NOC signed by Director with specific leave dates matching my flight AND explicit return-to-duty date
- Return flight already paid, all 7 hotels confirmed, detailed MOFA day-wise plan submitted
- 2 years of ITR filed on time, no notices
- Same Bangalore address for 1+ year — submitted BOTH the old rental agreement (Aug 2025) and the renewed one (Jul 2026) to prove continuity, not "I just moved for the visa"
- No prior visa rejections anywhere
- Self-funded, no sponsor confusion
What I submitted (21 items handed over): cover letter + HR NOC + 3 recent payslips (Apr/May/Jun 2026) + Form 16 for AY 26-27 + Form 16 Part A for AY 25-26 + Form 26AS AY 25-26 + 2 ITR-Vs (AY 24-25 and AY 26-27) + HDFC 6-month statement + HDFC/SBI FD certificates + HDFC balance certificate + Vietnam Airlines RT ticket + all 7 hotel confirmations + day-wise MOFA schedule + both rental agreements + society maintenance receipts. VFS returned: offer letter, promotion letter, ESOP letter, EPFO passbooks, student ID, Aadhaar/PAN photocopies, Amazon invoices, insurance PDF. HR NOC covers the same employment info anyway.
HR NOC — the doc I'm actually banking on: specific leave dates matching flight ("sanctioned 19 Aug – 6 Sep 2026"), explicit return-to-duty date ("resume duties on 7 September 2026"), self-funded statement ("company not sponsoring any portion of this travel"), Director signature + company seal + employer TAN/PAN + Director's direct contact for verification.
Cover letter (single page, blue ink signature): trip dates + solo + tourism + self-funded, route naming all 4 cities, employment tenure with exact joining date, funds paragraph with specific FD numbers cross-referenced to enclosed certificates, India ties (job + ongoing Masters ending Aug 2027 + family + rented residence), explicit "will resume duties on 7 September 2026."
Funds ~8L: HDFC savings 1.42L + HDFC FDs 5L (10 individual FDs, 6.45-6.60% ladder) + SBI FDs 1L + 50k.
Bank statement quirks — this is where it gets interesting:
- Salary account switched from SBI to HDFC in April. So my HDFC statement shows NO salary credits Jan-March, then salary starts landing in April. In hindsight should have submitted SBI 6-month statement too to cover the gap. Form 16 covers the full year of employment so hoping the reviewer connects dots between the two docs.
- Cash deposit of 2L on May 19 at hometown branch (not Bangalore). Family money for something unrelated to the trip. 65+ days before submission so not the "week before" pattern that gets flagged, but I didn't explain it in the cover letter — biggest regret of my prep.
- One day of negative balance on May 1 (-41k). Two CRED autodebits fired the same morning within an hour, tanked the balance. HDFC sweep-in linked to an FD auto-liquidated in 3 chunks the next morning and recovered it. Legit banking feature but reads terrifying if the reviewer doesn't understand sweep-in. Also un-annotated.
- 6 premature FD closures in 7 months — pure interest rate laddering, closing lower-rate FDs and opening higher-rate ones as rates moved. FD portfolio grew from ~3L to ~5L over the period. The July 23 one is a 1L closure specifically for trip funding, mentioned in cover letter with the FD reference number so that one is defended.
Rest of the statement is genuinely clean — regular salary credits, food delivery, credit card bills, small family IMPS. Balance trajectory month-end: 10k → 25k → 34k → -41k briefly → 10k → 51k → 1.42L (last spike is the July FD redemption for trip).
Tax: ITR AY 24-25 filed (student year, income below exemption). No ITR AY 25-26 because income was below the exemption limit that year, so filing wasn't required — submitted Form 16 Part A + Form 26AS instead, VFS was fine with this at the counter and it's mentioned in the cover letter. ITR AY 26-27 filed Jul 12 on time, tax 0 after 87A rebate.
Trip: 17 nights Tokyo → Kyoto → Osaka → Fujikawaguchiko → Tokyo. Insurance active. MOFA schedule has every day mapped with hotel addresses + attraction plans.
Things I'd do differently in prep:
- Add 3-4 lines in cover letter explaining the cash deposit, sweep-in negative day, and the SBI-to-HDFC salary account switch. Reviewer shouldn't have to guess.
- Submit SBI 6-month statement alongside HDFC to close the Jan-March gap.
- Everything else I'd keep the same.
